Job description

Updating  intranet/internet sites - Organising meetings (general tasks):
  • Sending invitations + follow-up with participants
  • Preparation and dispatch of doodle polls + follow-up with participants Preparation and dispatch/printing of agenda
  • Preparation and dispatch of attendance list
  • Preparation and distribution of name badges
Organising and managing teleconferences/Webex:
  • Sending invitations + follow-up with participants
  • Starting teleconferences
  • Preparation of attendance list
  • Ensuring all teleconference participants are present when call is started (checking against attendance list)
  • Note taking if required
Preparation of face-to-face meetings organised by the company:
  • Preparation and dispatch of invitations
  • Preparation and distribution of attendance list
  • Preparation and setup of meeting room, coffee breaks and lunches
Other administrative tasks (archiving, stock management, etc.)

Your profile

  • Excellent spoken & written level in English, with a very good level in French.
  • Minimum 4 years of experience
  • Being independent and take initiatives
  • Excellent knowledge and self-sufficient with Word, Excel & Powerpoint and Webex knowledge
